Scheduled Publishing of Content in the Intercom Knowledge Base

Currently, articles in the Intercom Knowledge Base can only be saved as drafts and published manually. Automated publishing at a specific future time (e.g. in parallel with a product release) is not possible.

Requirement:
It should be possible to schedule the publication time of an article or news item in advance. The article should automatically go live as soon as the defined time is reached, without any manual intervention.

Target Functionality:

  • Ability to define a future publication date and time when creating or editing an article.

  • The article remains in “scheduled” or “draft” status until that time.

  • Automatic publication at the specified time.

  • Optional: Notification (e.g. via email or within Intercom) when the article has been successfully published automatically.

Rationale / Benefits:

  • Facilitates preparation for releases and time-based communication activities.

  • Reduces manual effort and the risk of delayed publications.

  • Supports consistent publishing processes, especially in larger teams or during international rollouts.

Big +1! For agile development processes, the need to be able to have content go live at the moment releases go out is really important, because sometimes, launch timings don’t align with the working shifts of our knowledge workers and tech writers. Having the ability to schedule publishing would be a huge value add. Help Scout and Kustomer had this capability, and it’s been a big pain point for me transitioning to Intercom’s software.

You’re spot on—Intercom doesn’t currently offer a native "schedule to publish" button for articles. However, if you’re looking for a bit of a workaround to tide you over, I’ve found a cheeky way to handle this using Audience Rules. Here is how you can "soft launch" an article to appear on a specific date:


1. Set an Audience Rule: Within the article settings, navigate to the "Audience" section.

 

2. Apply a Date Filter for Visitors; Leads;Users a rule such as "Last Seen is after [Your Launch Date]".

 

3.  Publish Away: You can then hit "Publish." Because of the rule, the article will remain hidden from your customers until that specific date is reached.
 

It’s not a "hard" scheduled publish in the traditional sense, but it certainly does the trick for ensuring content only becomes visible in tandem with your product releases.
