Adding intercom conversations into hubspot

Hi everyone! 👋

Our support team works in Intercom, but our sales and customer success managers use HubSpot. I’m looking for a way to ensure that Intercom conversations are added to customer records in HubSpot automatically.

I’ve come across some apps in the Intercom App Store, but I’d love to hear from anyone who’s done this before. Specifically:

  • Are there any integrations you’d recommend? Ideally something that doesn’t require dev work (but if it does, that’s ok)
  • How well do they sync conversations between Intercom and HubSpot?
  • Any tips or best practices to ensure the integration works smoothly?

We use Zapier for a lot of cross-tool automations. I explored this a bit for you and managed to build an automation that does what you ask, by identifying the person who started the conversation in Intercom, finding their contact in Hubspot (optionally creating one if not found), and then creating a Note engagement that has a link to the intercom conversation.

We use Zapier for a lot of cross-tool automations. I explored this a bit for you and managed to build an automation that does what you ask, by identifying the person who started the conversation in Intercom, finding their contact in Hubspot (optionally creating one if not found), and then creating a Note engagement that has a link to the intercom conversation.

We have the same set-up, CS uses Intercom, sales work within HubSpot. 

We currently are testing the HubSpot integration build by Intercom, as it allows our CS team to open relevant contact profile in HubSpot if needed and see main info about the contact directly within the inbox. 

 

As for the conversations, they are logged as Intercom conversation event within Hubspot, allowing our sales teams to access and review the transcript, it also includes link to relevant conversation within Intercom, so Intercom users can open the conversation also in the Intercom UI directly.

One drawback of this app is that the transcript can appear quite messy for longer conversations. Additionally, I haven’t found a way to log customer tickets within HubSpot, which is a bit inconvenient for us since many of our customers primarily use the ticket portal to track their requests.

​@Patrīcija have you found a way to only push those conversations through the integration once they are closed? We are seeing every conversation with multiple entries as it progresses. Ideally it would only be 1 entry once the conversation is closed.   See attached example, this is only 1 conversation but it added 8 entries:

I’d like to hop on to this thread, as I am facing the same issue with tickets as ​@Patrīcija - most of our customers use ticketing as well, but I haven’t found a way to sync them. I assume I will need to configure a workflow with custom API requests creating items in Hubspot, but any input would be highly appreciated. 🙂

You can use the Intercom-HubSpot integration available in the Intercom App Store, like HubSpot by Trujay or Automate.io/Zapier for a no-code solution. They sync conversations well, though real-time syncing may vary. If custom mapping is needed, a webhook-based solution might be best (find out). A tip: ensure proper field mapping and test with a few records before full deployment. Hope this helps! 😊

​@Chris Rule  Nope, unfortunately, that's another drawback of this integration. I'm considering running another test with Zapier, as they have an Intercom conversation closed trigger that might help solve this.

This is a really common setup and one I've spent a lot of time on.

As others in this thread have experienced, the native integration creates multiple timeline entries per conversation (8+ as ​Chris showed), transcripts get messy for longer chats, and there's no way to sync tickets to HubSpot.

I built Interhubz (disclaimer: it's my app, available in both the Intercom and HubSpot marketplaces) specifically to solve these problems. Here's the short version of how it works:

One note per conversation: Interhubz waits until the conversation is closed (works with other triggers too), then creates a single formatted note on the HubSpot contact with the full transcript, attachments, tags, and a link back to Intercom. No drip-syncing, no timeline spam.

Smart matching: It matches conversations to existing HubSpot contacts by email, phone, or custom properties before creating anything, so no duplicates.

Noise guards: Filters out bot-only conversations, auto-closed chats, and short interactions so only meaningful conversations reach HubSpot.

HubSpot tickets from Intercom: There's an inbox app that lets agents create or link HubSpot tickets directly from the conversation. When the Intercom conversation closes, the linked ticket stage updates automatically.

So basically no dev work needed, just OAuth both accounts and configure through the settings UI.
